HR/Payroll Coordinator

Job Summary:

We are seeking a detail-oriented and proactive HR/Payroll Coordinator to join our team. This role is critical in managing HR administrative tasks, processing multi-state payrolls, and ensuring compliance with payroll regulations across the various states where we operate. The ideal candidate will have experience with setting up business accounts, researching state-specific employer requirements, and navigating the complexities of payroll taxes, workers’ compensation, and wage and hour laws. Prior experience with California payroll regulations, prevailing wage, and HRIS software is highly preferred.

Key Responsibilities:

  • Process accurate and timely payrolls for employees across multiple states using HRIS, ensuring compliance with state and federal regulations.
  • Maintain up-to-date records of employee hours, deductions, and earnings, including handling complex payroll scenarios such as prevailing wage requirements.
  • Ensure payroll taxes, garnishments, and deductions are correctly calculated and remitted in compliance with applicable laws.
  • Set up new business accounts in various states where we operate or plan to operate, including registrations for state unemployment insurance (SUI), workers’ compensation, and state withholding accounts.
  • Conduct in-depth research on employer requirements in new states, including payroll tax rates, workers’ compensation guidelines, wage and hour regulations, and reporting obligations.
  • Collaborate with external agencies and vendors to ensure proper registration and setup of accounts and compliance with state-specific requirements.
  • Oversee and coordinate the resolution of facility issues and the implementation of any necessary improvements.
  • Assist in the planning and execution of company events, parties, and team-building activities.
  • Support the HR team with administrative tasks, such as maintaining employee files, updating HR records, and assisting with onboarding and offboarding processes.
  • Respond to employee inquiries related to payroll, benefits, and HR policies, providing clear and accurate information.
  • Assist with benefits administration, including enrollments, changes, and terminations, and ensure compliance with federal and state regulations.
  • Provide general administrative support to staff and leadership as needed.
  • Prepare reports, presentations, and documentation as required.
  • Perform other duties as assigned to support the overall operations of the office.


Qualifications:

  • 2-4 years of experience in payroll processing and HR administration, with a focus on multi-state payrolls.
  • Strong knowledge of California payroll laws and regulations, including experience with prevailing wage projects.
  • Experience with HRIS for payroll processing, data management, and HR record-keeping.
  • Experience with setting up and managing employer accounts in various states, including payroll tax registrations and workers’ compensation.
  • Familiarity with wage and hour laws, tax compliance, and state-specific employment regulations.
  • Strong organizational and time management skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with travel booking tools and office management software.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently as well as part of a team.
  • Flexibility to adapt to changing priorities and business needs.
  • Comfortable working in a fast-paced environment.
